Phalen Leadership Academies, a charter school network committed to fostering academic excellence and holistic student development, encountered significant challenges in managing their meal program operations. With the appointment of Paul Farrington as Director of Auxiliary, PLA faced high staff turnover, ineffective vendor management, and critical compliance issues, risking severe financial penalties. EMSA's Vision

EMSA is a public K-8 charter school located in Elgin, Illinois. Officially opened in the Fall of 2018, EMSA was created through the collaborative efforts of community members who envisioned a school that brings science and math to life for students in the Elgin area and surrounding communities.

Initial Challenges

As Phalen Leadership Academies transitioned to new leadership under Paul Farrington, he immediately faced three significant hurdles in managing their meal program: frequent staff turnover, ineffective vendor management, and critical compliance issues. Paul’s ability to quickly identify and address these challenges was crucial in stabilizing and transforming the program.

Frequent Staff Turnover

The food service program experienced high turnover at the Food Service Director level, resulting in a lack of continuity and institutional knowledge. This instability made it difficult to maintain consistent management and oversight.

The frequent changes in personnel led to inadequate training and a lack of consistent knowledge transfer, resulting in errors and inefficiencies in program management.

To prepare for upcoming administrative reviews:

 

  • Detailed Documentation: We developed comprehensive documentation practices, ensuring all necessary records were accurately maintained and readily accessible.

  • Training Programs: Our team provided targeted training programs for staff, focusing on the specifics of NSLP compliance. These programs included mock audits to familiarize staff with the review process.

  • Internal Audits: Regular internal audits were conducted to identify potential compliance issues and address them proactively. These audits included thorough reviews of meal counts, financial records, and vendor contracts.

Robust Audit Preparation and Support

We provided rigorous audit support, preparing the school for both scheduled and unscheduled audits, which included successfully navigating a CACFP audit.

Ongoing support and training from your team have empowered our staff and administrators to handle day-to-day operations more effectively. We’ve gained the skills and tools necessary to manage and expand our nutritional program.

The Change Makers

Future Outlook

Looking ahead, EMSA is set to implement several exciting initiatives to continue improving and expanding their meal program.

Kitchen Expansion

Upgrading kitchen equipment to expand menu options, including pasta and soups, and improve preparation efficiency for cafeteria staff.

A La Carte Program

Introducing an a la carte program to offer more food choices for students and staff while helping maintain financial sustainability of the child nutrition program.

Universal Supper

Through extensive planning and partnership with their Food Service Management Company, EMSA will expand the supper program in SY 24-25 to ensure all students have access to nutritious meals after school hours, aiming for 100% participation.

These future projects reflect EMSA’s commitment to continuous improvement and innovation, supported by the strategic guidance and expertise of School Food and Wellness Group.
